Position Description

Senior Administrative Assistant

The New York City office of the Local Initiatives Support Corporation (LISC) seeks an administrative professional to fill the position of Senior Administrative Assistant.This position reports to the Managing Director.

Background

LISC is a national nonprofit organization, which provides financial and technical assistance to neighborhood-based nonprofit community development corporations (CDCs) working to improve housing and economic conditions in distressed neighborhoods.The New York City program raises grants, loans and equity for strategic investment in CDCs and community-based entrepreneurs throughout the city to develop affordable multifamily rental housing, homeownership opportunities, commercial enterprises and community facilities.For over 25 years, LISC NYC has been a critical link between non-profit community developers, the government and the private sector, providing over $100 million in grants and loans and over $1 billion in equity to more than 75 community development corporations (CDCs).These groups have used those funds to develop over 300 new homes, 20,000 new apartments and 1,000,000 square feet of commercial, industrial and retail space.

Responsibilities:

§Coordinate extremely active appointment calendar, including conferences and meetings.

§Conduct research and prepare materials for meetings.

§Answer all correspondence and telephone calls for Managing Director, and conduct follow-up activities as needed.

§Word-processing, file, and keep staff informed on complex information.

§Prepare and track expenditure records and invoices for project budget and subcontractor budgets.

§Assist in coordinating project activities.

§Act as liaison between departments.

§Arrange travel for staff.

§Coordinate trainings/conferences.

§Develop and disseminate new office procedures and information.

§Gather and analyze data internally and externally.

§Entering, maintaining, and updating information in databases.

§Performing day-to-day office functions such as faxing, copying and ordering supplies.

§May coordinate senior management meetings and schedules, including advisory board.

§Supervise office temps.

§Perform other duties as assigned.

Qualifications

The candidate must have the ability to work collaboratively with coworkers and representatives from the nonprofit, corporate, philanthropic and public sectors. Must be able to work independently, compose and answer correspondence and memoranda, assist callers with accurate information, and meet deadlines.Must have an understanding and interest in the substance and management of the work of LISC.  Must have the ability and judgment to take initiative and work independently without extended supervision and to accomplish complex tasks.  Candidates must have the capacity to work simultaneously on multiple tasks and projects, set priorities for a challenging workload, and be positive, solution-oriented professional. Excellent writing and verbal communication skills required.

3-5 years of administrative experience with strong emphasis on office management are required.Associate’s degree required. Bachelor’s degree preferred.
